  1. Call to order
    7:07pm at Becky’s home at 3905 Clearwater
  2. Open Issues
  1. Vote in new trustee-Julie Goldberg-Secretary
     
  2. Vote in new trustee-Sujeeva Seneviratne-Treasurer
     
    Both new trustees approved and seconded during meeting.
     
  1. Financials
    We currently have one year reserve. No foreclosures this year. Will plan on keeping ahead of foreclosures to avoid losing funds.  Will discuss at 2016 meeting the possibility of amending bylaws to include wording to keep one years reserve in account.
    Light issues: will continue to work on getting mailbox lighting universal. Should work in lighting to landscape committee. Steven Kotarinos volunteered for heading landscape committee.
     
    New business
  1. Tree trimming and grass mowing
    Last year we notified owners that if trees were overhanging they could take care of it themselves within a time frame or Braulio would take care of it afer the designated time at cost to the homeowner. Propsed getting quote for trimming again this year. Ask Braulio to include dead trees in lots for owners to decide on perhaps having removed. Same process with mowing side areas that block vision in intersections. Letter would go to owner and if not taken care of, we will have it mowed and cost forwarded to owner. Recommend including language about removing snow markers at spring clean up time as general rule.
  2. Volunteers for road committee
    -road repair and patching:
    -private drive seal coating: driveway type material needed
    -culverts: assess repair of this and condition( those under roads-not those under driveways)
    Do we have volunteers for road committee?
  3. Covenants and bylaws updates
        We do not have a building committee and if we have someone want to build on a lot we will need such committee. This person would look over regulations, by laws to make sure all are up to date insofar as trucks, etc in the event that someone does want to build at this point. Will also look at wear and tear on roads, schedules of costs upon building/renovating.
     
    Vote on keeping assessements same at $1200. Vote was unanimous to keep the same for 2015/16.
     
  4. Landscape committee
    Plan for costs-meet back for approval. Come back with plan and quote out companies and coordinate lighting at same time. Denise and Bob will head this up.
  5. Sign post protection
    Wrap bottoms to prevent thinning once weather breaks. Denise has this and will check fit in spring.
  1. Open for New items or comments
    Website proposal for neighborhood. Do we want to get policies, etc online? Do we want all owners and info online who want to be? Additions to webpage? Kevin and Sujeeva volunteer to help out with looking into this. Our website is beavercreekestates.org.
     
  2. House keeping
  1. Pick date for 2015 neighborhood cleanup: April 25, 2015. Rain delay May 2, 2015.
  1. Pick date for 2016 Annual Meeting: Thursday, February 11, 2016.

2014 Annual Meeting Minutes

The annual meeting was held on Feb. 6, 2014 at the Long Grove Village Hall meeting room. There were eight homeowners in attendance. The following agenda matters were discussed:

Financial Report

 2013 Profit and Loss and Balance Sheet statements were distributed to the attendees.  We are in good financial shape overall. There remains only one homeowner in arrears for dues and assessments. We are following with legal action in order to collect.

Street  Signs

New street signs were installed this past fall. We are looking into ways to protect the bottoms of the posts. Mulching and/ or a sheet metal wrap are being considered. Also, we’ll be getting designs and estimates for coordinating address markers for homeowners to consider.

Tree Trimming

All trimming of trees along the roads has been completed. This will have to be maintained on a continuous basis. The focus will now turn to having dead trees removed.

Covenants and Bylaw updating

Continues to be a work in progress, but we do now have an attorney actively working on this.

Long Grove tax

Kevin has been sending additional emails to all homeowners, so as to keep all of us aware and informed. Bottom line…this referendum is not in our best interests, and over time has the potential to add a large increase to our tax bills. It is very important that we all vote “no” when this comes up for vote in April.

Road repair

This winter has been very hard on the roads. Now that we’ve spent good money to resurface our roads, it is very important to be vigilant with repairs to make them last. To that end, patching and any other necessary repairs will be done later in the spring. Sealcoating of Private Drive will be done then as well.

New Board Member

We are in need of a new Secretary. Please contact any Board member if you are interested in the position. For the short term, the remaining Board members have agreed to juggle positions so that all responsibilities are covered. The annual neighborhood clean-up will be held on Sat. April 20th.

The next annual meeting is scheduled for February 12, 2014

2013 Annual Meeting Minutes
February 7, 2013

The annual meeting was held on Feb. 7, 2013 at
3905 Clearwater Drive with six homeowners in attendance. 
The following agenda matters were
discussed:
 
Financial
report

·        
2012 Profit and Loss
and Balance Sheet Statements were distributed to the attendees. 
We are in good
financial condition overall, with total assets of
127K.
        
The annual assessment
will be increased to $1,200.00 per year. 
This is our first increase in five years.   The increase is required to
  further build our Capital Reserve fund so that we are prepared to pay for
projects that routinely maintain and preserve the long term functionality of our
common area assets. 
Our Annual Assessments
  cover routine costs like snowplowing, landscape maintenance, light bulbs etc.,
  as well as build Capital Reserves to fund necessary projects such as road
  replacement, sign replacement, light fixtures, and
landscape.

New Board  Member
      
New neighbor Robert
Rogala was elected to fill the position of Roads Commissioner, vacated by Bill
Cox when he moved late last year. Welcome Robert, and thank you for
volunteering!


2013 Projects
 ·        
Roads

 Private Drive needs to be
seal coated.  Bids have been
submitted and the work will be done this spring as soon as weather permits.
·        
Common area lighting

 All entrance lights have been changed from
timers to daylight sensors, alleviating the need to be constantly resetting
them. Seems to be working well so far! The broken landscape lights have been
repaired, and burnt out bulbs replaced with more efficient LED’s. The mailbox
lights are in the process of being changed over to LED’s as
well.
  
Street signs

 We are in the process of getting quotes to
replace our worn street signs. There are many options to evaluate, and our
objective is to choose an attractive option while keeping the cost reasonable.
  ·        
Tree and brush trimming

As discussed at last year’s
  meeting, the Board has obtained quotes for having tree and brush trimming work
  done on landscaping that is in too close proximity to our roads.  A
specific communication detailing proposed action will be sent to homeowners
within the next 30 days.
 ·        
Covenants

 Our covenants and bylaws were last updated
in 2003, and based on recent learning regarding foreclosures, are in need of
updating. We are getting quotes from attorneys, and plan to complete this work
in 2013.

The annual neighborhood
clean-up will be held on Sat. April 20th. 
 
Please join us at 8a.m.at the corner of
Beaver Run and Lakeview. Bring your kids and your gloves, and don’t wear your
good shoes!
        
The 2014 Annual meeting
will be held on January 16th, at

•Financial update and 2012 outlook
 •  Good financial condition overall
 • Total assets of $64K
 • Annual assessment to remain at $1000.00 for 2012
 •Road construction came in under budget
 •Weather has been favorable resulting in snow removal being under budget so far this
year
 
•  Question asked about if salting roads is harmful to the new                          
pavement- We will ask the contractor
•  Edging with new grass  is doing well
• Landscape committee update 
• Didn't spend much money last year - Just redid the entrance mulch
• Probably will do a bit more this year
 
2012 Projects (Research options, get quotes and propose solution)
• Neighborhood road signs
    • Signs are getting old and wooden posts are in need of repair or
replacement
    • Research needs to be done into options - Depending on cost and              
scope of work, we may need to put to a vote by the homeowners
    • There are some spare signs available
• Entrance Lights
    • Will look into light sensor vs. timers and light bulb replacement

Issues submitted to board (Discuss and create action plan)
 
• Tall grass near road side
 •  Currently not allowed if the lot is vacant
 •  Board has authority under bylaws to enforce existing regulations about yard/lot
maintenance to ensure grass is trimmed properly
 • Board will send a letter to homeowners as needed


• Trees near the road
 • Causes road damage and also vehicle damage
 •  Only option at this time is to require trees that overhang the road be trimmed by the
homeowners
 • Board will send appropriate notices to homeowners
 • Board can also provide information about pricing to replace trees


• Commercial trucks and trailers parked in driveways
 • Currently not allowed by bylaws
 • Letter to be sent to identified homeowner(s) since a complaint has been made to the
Board

 • Twice a week garbage truck traffic
 •  Causes more damage to roads and road edges than once a week garbage
collection
 •  We understand a small number of homeowners have twice a week pickup and nothing to
be done at this time

Open Discussion

  •  Pipe  was used as road markers for plowing that could cause damage to cars if they hit
the markers
 •  Over half of the fiberglass stakes that were installed initially went missing which
is why Braulio used pipe
 •  Recommendation was to buy more of the fiberglass stakes to replace the pipes

The roads are done.  What else is there to talk about?

Over the past few months people have mentioned trees over hanging the roads, wild grass allowed next to the road and neighbors with signed work trucks/trailers in their driveways.  These could be possible discussion topics at the meeting.
