The meeting was called to order at 7pm. by Phil Mondrowski
There were twelve members in attendance.
1. There was a call for volunteers to fill the two vacant positions on the Board. The following three members volunteered:
Sam Lucido
Arivendhi Pargunan
Alex Paul
A vote was taken. Sam and Ariv were approved, with Alex as an alternate. The Board will meet to decide which role each will serve.
2. Treasurer Phil Mondrowski provided and explained the profit and loss statement, as well as the need for an Escrow account for the new home construction at 3915 Beaver Run. He also presented the 2017 budget. The financials were unanimously approved. Phil is also collecting contact information for a neighborhood directory. Several homeowners have asked for this. Everyone will have a choice to either be included or opt out. The resulting directory will only be shared with those who have chosen to be included.
3. An update on the Roads fund was given. Based on a 12 year road replacement estimate, we are 60% of the way to our target budget. Given the time remaining, we should be able to replace the roads without a special assessment.
4. We’ll be moving ahead with the following projects in 2017:
· Redoing the landscaping and electrical of our Common area entranceways and the two “islands” on Beaver Run and Lakeview Drive.
· Replacement of the broken lightpole at the Beaver Run entrance.
· Further dead tree removal as needed.
· We are waiting on 4 bids requested for landscape maintenance and road snowplowing. There was some concern expressed by those who have been happy with Mr. Braulio who has been doing a good job for many years. The Board felt that his prices may have climbed too high over the years, and that it was financially prudent to solicit other bids. The Board will take his reliability into consideration when we make our decision.
· We discussed the issue of trees planted between the ditches and the roads, and decided that we should not allow any new trees to be planted there in the future.
5. There was discussion about algae build-up in the ponds, and what could be done about it. Bubblers or chemicals were mentioned. The board suggested that the affected homeowners investigate and possibly present some options to the board.
6. We’ve had complaints about a dog roaming in the neighborhood, digging and doing his business in other homeowner’s yards. We discussed a possible need to add to the bylaws to address this.
7. We discussed the lack of necessary repairs, maintenance and general upkeep of some of the neighborhood homes. Our covenants require responsible maintenance, and keeping our home and property in good repair, condition and appearance. Everyone agreed that the board should begin to address these issues and give notice to those homeowners who are not complying. Specific requirements will be addressed. It is in all of our best interests to have a beautiful well kept neighborhood.
8. The Board will meet to set a date for the next annual meeting and neighborhood clean-up. A notice will be sent out to everyone with those dates.
